What is an A.I. agent and how do you use one in your business?
An A.I. agent carries out tasks on its own in your mailbox, CRM or calendar. Learn how it differs from a chatbot, see 2 Belgian cases and how to start.

You already let ChatGPT write an email. But what if A.I. also sends that email, books the meeting and updates your CRM? Then you are talking about an A.I. agent.
In this article you read what an A.I. agent is, how it differs from a chatbot and an A.I. workflow, and where you can use it in your business. With two real-world cases and a 5-step plan.
What is an A.I. agent?
An A.I. agent is an A.I. system that carries out a task on its own. It gets a goal, decides which steps are needed and uses tools like your mailbox, calendar, CRM or the web to get there.
The difference with a regular chatbot: a chatbot gives an answer. An A.I. agent also acts on that answer. It books a meeting, sends an email or updates a customer record.
That independence is the strength of an agent. It also means you agree on clear limits upfront: what can the agent do on its own, and what must a person approve first?
What is agentic A.I.?
Agentic A.I. is the umbrella term for A.I. that acts on its own, instead of only answering. An A.I. agent is the concrete use of it. Often several agents work together: one looks up information, another writes a report and a third sends it on. So when you see the term agentic A.I., it means systems that plan, decide and take actions themselves.
What is the difference between a chatbot, an A.I. workflow and an A.I. agent?
| Chatbot | A.I. workflow | A.I. agent | |
|---|---|---|---|
| What does it do? | Answers questions | Runs fixed steps with A.I. | Chooses its own steps to reach a goal |
| Does it decide? | No | No, the steps are fixed | Yes, within the limits you set |
| Does it use tools? | Usually not | Yes, chosen in advance | Yes, and picks which ones |
| Example | FAQ bot on your website | Summarise every new quote and add it to your CRM | Follow up a lead: research, send an email, book a meeting |
Not every task needs an agent. An A.I. workflow is often faster, cheaper and more reliable. A good A.I. partner tells you honestly which solution fits.
How does an A.I. agent work?
An A.I. agent works in five steps:
- Goal: you give the agent a task, for example "follow up this lead".
- Plan: the agent decides which steps are needed.
- Use tools: it looks up information, reads your emails or opens your CRM.
- Check the result: it checks if the result is correct and adjusts its plan if needed.
- Act: it carries out the task, like preparing an email or booking a meeting. Important actions go to you for approval first.
The brain of the agent is a language model, such as GPT or Claude. The tools are the connections with your systems.
At Flowkify, we often build A.I. agents in n8n. It is a flexible automation platform that connects with almost any tool that has an API.
Where can you use A.I. agents in your business?
A.I. agents work best for repetitive work with lots of text, emails or data. Think of:
- Sales: follow up leads, research prospects, prepare a first email
- Marketing: create social media posts based on new content on your website
- Administration: read invoices or documents and add them to your system
- HR: answer employee questions based on your internal documents
- Meetings: write minutes, assign action points and send out tasks
- Customer service: sort emails and prepare a draft reply
Two cases: how Flowkify uses A.I. agents with clients
1. Social media agent for M vastgoed
- Creates content based on new properties that go live on the website and posts it on Facebook, Instagram and TikTok
- Schedules posts automatically through an API
- Uses XML prompting for a consistent tone of voice
- Result: one of four A.I. agents running live at M vastgoed. Read the full case
2. Complicheck: anti-money laundering agent for accounting firms
- Accountants must screen their clients under the Belgian anti-money laundering law (law of 18 September 2017). You enter one company number. The agent uses the Crossroads Bank for Enterprises (KBO), the Belgian company register, to map all directors and linked companies.
- Six researchers search at the same time and live for sanctions, politically exposed persons, negative press and more.
- Every finding gets a source. The employee confirms the beneficial owners before the research starts.
- You get a Word report with a risk table in your mailbox.
- Result: from 30 to 5 minutes per file. Read the full case
What should you watch out for?
An A.I. agent works on its own. That is its strength, but also a risk. So keep these points in mind:
- Human control: let a person approve important actions, like an email to a client.
- Limited access: only give the agent access to the tools and data it really needs.
- Privacy and GDPR: check which customer data the agent handles and where that data goes.
- Transparency: does your agent talk to customers? Then Article 50 of the AI Act says it must tell them it is an A.I., at the latest at the first interaction. The easiest way is to do it in its first message.
- Error handling: build a separate error flow, so you quickly see when something goes wrong.
- A.I. literacy: your team needs to know how the agent works and when to step in. Read more in our article on the AI Act.
How do you start with an A.I. agent in 5 steps?
- Pick one process. A task that takes a lot of time and comes back often.
- Map the process. Which steps and tools, and who decides what?
- Build a first version. Test with real examples, no actions yet.
- Involve your team. Collect feedback and improve the instructions.
- Go live and follow up. Measure time saved and cost, expand step by step.
Only at step 5 does the agent take actions itself.

Frequently asked questions
What is an A.I. agent in simple words?
A digital colleague that carries out tasks on its own. It gets a goal and picks the steps itself, within the limits you set.
Is an A.I. agent the same as ChatGPT?
No. ChatGPT is a language model you chat with. An A.I. agent uses a language model as its brain, but can also take actions in your systems.
Which companies benefit from A.I. agents?
Mostly companies with a large back office or service companies. From accounting to construction. We focus on processes like marketing, sales, HR, administration and finance.
Does an A.I. agent work with my CRM or ERP?
Yes, as long as your tool has an API. Think of Odoo, AdminPulse, HubSpot or Microsoft 365.
How fast can an A.I. agent go live?
On average 2 to 4 weeks, depending on complexity.
How much does an A.I. agent cost?
Flowkify builds custom solutions. The price depends on your tools, your processes and how much the agent needs to do on its own.
Does my A.I. agent fall under the strict AI Act rules?
Usually not. Agents for sales, marketing, administration or customer service are not high-risk. You do take care of two things: your agent says it is an A.I., and your team knows how to work with it.
Be careful with HR and finance. Because of the Digital Omnibus (Regulation (EU) 2026/1744), strict rules apply from 2 December 2027 if your agent helps with selecting candidates, deciding on promotion or dismissal, monitoring employee performance or assessing the creditworthiness of individuals. In doubt? Have it checked upfront.
